UNU Centre Administration is responsible for developing and implementing administrative policies governing the UNU and its global network of institutes and programmes. In addition, UNU Centre Administration provide services to internal clients in the areas of financial management, budgeting, human resources management, travel and procurement. UNU Centre Administration is located in Tokyo, Japan, with a global services centre based in Putrajaya, Malaysia.

Responsibilities :

Supports coordination of procurement services UNU-Wide while ensuring compliance with the relevant rule and regulations

  • Assist in coordinating with offices, compile and update the UNU Annual Procurement Plan, Contract List and Vendor Evaluation Reports;
  • Assist in preparing reporting requirements for monthly UNU procurement activities, quarterly procurement awards and Annual Statistic Report on procurement;
  • Assist in creating/ closing Requisition-PO, receipting for UNU Putrajaya office

Supports the implementation of Quantum SCM and Finance:

  • Assist in system testing, drafting user guides and reference materials, and participating in end user training
  • Assist in supporting end users during testing & go-live.

Supports travel services for UNU offices while ensuring compliance with the relevant rule and regulations:

  • Assist in preparing required reports for UNHQ for UN Air Travel Insurance Policy yearly renewals.
  • Assist in travel management for UNU Putrajaya office, including creating TRs, TCs
  • Assist in coordinating with offices for the compliance of UNU travel Policy

Supports budgetary and reporting services for UNU offices while ensuring compliance with the applicable rules and regulations:

  • Assist in the monitoring and maintenance of project statuses, which includes tracking of contribution and spending.
  • Assist in the preparation of supporting documents for the finalization of cost estimates, budget proposals and management reporting

Supports the implementation of effective financial closing and reporting:

  • Assist in the preparation of journals, monthly financial reports and annual financial statements.
  • Assists in the preparation of a variety of supporting schedules for IPSAS financial reporting
  • Assist with the preparation of information required to respond to audit findings and recommendations.
  • Provides administrative office support services to help ensure the smooth functioning of the Operation and Finance Unit
  • Perform other duties as may be assigned

Qualifications:

  • Secondary Education with specialized certification OR Bachelor’s Degree in Accounting, Finance, Business Administration or other relevant fields.
  • Secondary education with 4 years OR a Bachelor’s degree with 2 years of relevant working experience is required.
  • Experience working with IPSAS is a considerable asset;
  • UN/UNU experience is an asset;
  • Proficient in Microsoft Office and experience in handling ERP systems is desirable;
  • High level of resilience;
  • Result-oriented, self-motivated and hands-on, with a strong ability to establish priorities, multi-task and work within tight timelines;
  • Strong commitment to customer service.
  • Fluency in English is required
  • Knowledge of another UN official working language is an asset.
