The Administrative Associate is responsible for the office management in assisting the concerned manager in the implementation of general administrative and resource management tasks.

The Administrative Associate is normally supervised by a (Senior) Administrative Officer or a National Administrative Officer who defines general work objectives and provides necessary advice and guidance. The incumbent may supervise some support staff. S/he keeps frequent contacts with staff at various levels in the office and occasionally with staff at the same level in other duty stations and/or Headquarters; with local suppliers and/or officials and/or Implementing Partners (IPs) on subject matters which may be of importance to the Organization.

They do so within their delegated authorities, in line with the regulatory framework of UNHCR which includes the UN Charter, UN Staff Regulations and Rules, UNHCR Policies and Administrative Instructions as well as relevant accountability frameworks. In addition, staff members are required to discharge their responsibilities in a manner consistent with the core, functional, cross-functional and managerial competencies and UNHCRs core values of professionalism, integrity and respect for diversity.

Duties:

  • The Admin Associate will be expected to Issuing payment vouchers in MSRP for ADMIN payments. 
  • Running the Pay cycle for SAMCO payments, Perform the bank reconciliation.
  • Review and monitoring of Open items, running queries & reports related to POs & Requisitions and their analysis.
  • Understand and know the procedure of Month and year end closure Accounts.
  • Assisting in maintaining the ADMIN & FINANCE filing records.
  • Issuing payments on FNB banking.
  • Recovery of staff Advances from the Salaries. Settlement of Travel Advances and Claims.
  • Knowledge and understanding of UNHCR/UN rules, policies and regulations regarding financial management is expected.
  • S/he is expected to demonstrate knowledge of International Financial Reporting Standards (IFRS) or International Public Sector Accounting Standards (IPSAS) S/he must be a team player
  • and have proven ability to identify client needs and match them to appropriate solutions.
  • Knowledge, familiarity with the Africa operations and its range of challenges, issues is beneficial while French is desirable. The incumbent shall report to the Finance Officer (P3). S/he should
  • be able to work closely with colleagues from other units, including HR, Travel and Programme.

Minimum Qualifications:

Education & Professional Work Experience:

  • 3 years relevant experience with High School Diploma; or 2 years relevant work experience with Bachelor or equivalent or higher

Certificates and or Licenses:

  • Business Administration, Finance,      
  • Office Management, Human Resources or other related fields.;

Language Requirements:

  • Knowledge of English andor UN working language of the duty station if not English.
  • Knowledge of French.
