Program Assistant

The Financial Institutions Group (FIG) is one of the major industry groups at IFC, responsible for managing approximately 40% of IFC’s overall business in terms of volume and capital at risk.  FIG engages in a wide range of sub-sectors including Microfinance, SME, Gender, Climate, Insurance, Capital Markets, Housing, Distressed Assets, and other areas, with both investment and advisory & upstream services delivered to IFC’s clients through IFC’s global network. 

FIG is looking for a highly motivated, well-organized, diligent, and committed Program Assistant to support it FIG Global Unit (CFG) in Washington D.C. supporting its Sustainability and Climate finance advisory & upstream and investment business.

The Program Assistant will report primarily to the Manager responsible for Climate business of FIG, may support other business heads within that unit, and will have responsibility for certain cross-departmental roles and functions that pertain to pipeline and portfolio and will work in close collaboration with the FIG management and ACS teams to provide seamless administrative support to FIG’s global activities.

Roles & Responsibilities:

The Program Assistant will report to the manager responsible for FIG’s Sustainability and Climate business and/or other managers as assigned in the Financial Institutions Group. He/ She will be responsible for providing a full range of support administrative as well as program and operations related, with the highest level of professionalism, diligence, and discretion.

Main duties and accountabilities will include the following:

  • Function with a high level of judgment to provide a wide range of assistance to the designated FIG global manager(s) as assigned, especially in the areas of managing priorities of FIG business, workflow, communication and liaison with FIG regional teams and DC based Staff and ACS and ensuring the smooth delivery of services.
  • Support FIG Climate business line, compile and update data on the investment and advisory & upstream projects and analytics for the relevant sector portfolios and pipelines and prepare analytic reports as needed.
  • Support on a continuous and regular basis the knowledge management and sharing and events for FIG, in Climate and Sustainability areas, but across FIG; work closely with FIG knowledge management team and lead to enhance quality, frequency and ongoing maintenance of sectoral information including pitchbooks and projects and other relevant and critical resources for FIG staff on its intranet and for FIG events. 
  • Coordinate the time management and scheduling of higher level/ more complex meetings and events for FIG manager(s) as assigned to include effective prioritization and resolution of the related conflicts and competing demands and ensuring relevant documents are available for meetings. 
  • Plan and coordinate the travel schedules, as needed, including in support of the FIG Directorships.
  • Handle logistical planning for internal and external meetings or equivalent events; CRMs, IRMs and other global and regional meetings, assessing and obtaining appropriate facilities, services and equipment etc., as needed.
  • Independently respond to diverse inquiries and make decisions when multiple courses of action are possible.
  • Demonstrate impeccable standards of integrity when handling confidential material; use tact and sensitivity when resolving delicate issues.
  • Oversee the administrative functions of the office, i.e., TRS, LARS, and SAP.
  • Work and collaborate with the other Executive Assistants/ Senior Program Assistants from other regional Units and IFC offices to develop a high level of teamwork.
  • Provide basic research support and use relevant IT software to retrieve, maintain and manipulate data.
  • Handle ad hoc duties assigned.

Selection Criteria:

  • Bachelor’s degree or higher and a minimum of 10 years of experience.
  • High degree of motivation, initiative, sound judgement, and discretion in accomplishing the job and mastery of administrative and/or technical processes. 
  • Advanced knowledge of, and up to date with systems, technology, and databases relevant to functional area of assigned responsibilities. Knowledge of new database management tools such as tableau and or willingness to learn new tools and skills will be a definite plus.
  • Able to demonstrate initiative and pro activity in learning and/or supporting implementation of emerging technology applications and systems relevant to effective work of the unit.
  • Good project management skills.
  • Good understanding of unit's priorities; able to proactively negotiate with stakeholders and adjust own deliverables upon changing and competing priorities, remaining flexible and effective with a clear understanding of objectives to be achieved. 
  • Able to organize, coordinate, and make priorities-based adjustments to work schedule of internal clients (e.g. manager), if the tasks fall in the area of assigned responsibility. 
  • Exhibit and promote ownership and accountability of results and quality-oriented delivery, proactively anticipate and approach issues. 
  • Demonstrate innovation and creativity, promotes process simplification and effectiveness. 
  • Able to mentor less experienced staff in task and time management.
  • Good knowledge of Institutional policies, processes, and procedures- project cycle as well as portfolio, Board Paper submission and other investment related activities.
  • In-depth knowledge and understanding of the institutional vision, strategy, and priorities and how they affect unit's products and programs and interaction with clients in relevant functional area.
  • Able to act as an expert on relevant administrative and policy guidelines, procedures, and practices, demonstrate up-to-date knowledge of a diverse range of products and/or services in the relevant functional area of assigned responsibilities; able to independently interpret relevant policy application and guide others in complex situations within assigned area of functional responsibility.
  • Demonstrate initiative, independence, and autonomy in addressing client needs in changing business contexts and environments. Has knowledge of global practice strategy, vision, and goals and can link them to those of the larger organization.
  • Strong team spirit and ability to adapt a collaborative approach to improve overall effectiveness outside the department and display an open, helpful attitude toward others.
