About the Position

  • Under the direct supervision of the Regional HR Analyst, the Senior HR Assistant will provide HR support to the Alliance Asia Regional Hub.

The successful candidate has key responsibilities in the following areas:

  • Assist the HR Analyst to develop and update vacancies in the Hosted organization and Alliance template.
  • Prepare recruitment materials and post jobs to appropriate job boards/newspapers, focused more on Hosted organizations.
  • Work closely with the HR Analyst to screen candidates resumes and job applications.
  • Schedule interviews and manage interview logistics.
  • Support both the staff onboarding (arrange for training with different units, provide training from HR to new staff) and staff exit processes (liabilities calculation, paper clearance).
  • Support with new contracting and contract renewals.
  • Support the regional monthly payroll process (request for inputs from countries and compile data, track monthly statutory payments and keep the tracking tool updated.
  • Consolidate HR support documents to support audit requirements and employment certificates from staff.
  • Maintain HR team monthly calendar, call for meetings, report draft, take minutes and follow-up on action points.
  • Keep up to date country national holidays and staff leaves record.
  • Support in coordinating staff welfare activities (team building, rewards & recognition, etc.).
  • Work with HR team to draft contracts and other letters/documents within the HR Unit.
  • Maintain an updated general applicants’ database.
  • Maintain both digital and electronic filing system for the HR Unit.
  • Other tasks requested by supervisors.

Requirements

This job might be for you if you have the below skills and qualifications:

  • Technology career education or Bachelor’s Degree in Human Resources Management, or related areas.
  • At least one (1) year to three (3) years of experience in HR/partnership-related positions.
  • Full professional proficiency of the English language, both written and spoken.
  • Proficiency in relevant software packages (Microsoft Office Suite) and other IT applications/systems.
  • Can work with minimal supervision while demonstrating initiative and resourcefulness.
  • Flexibility and adaptability to work under tight deadlines and extended periods.
  • Demonstrated capacity to perform in a team-based, culturally diverse and international work setting.
  • Well developed skills in personal organization, filing and priority setting, problem solving and accuracy.

Desired Skills and Qualifications

  • Previous experience working for international development and/or research organizations, NGOs or UN agencies is highly desirable.
