Information and Technology Solutions – Knowledge and Information (ITSKI) provides information services to the Bank Group and the public. The services are provided by two units: Library & Publishing (ITSLP) and Archives & Records (ITSAR). This position is in the World Bank Group Library which is located in ITSLP.

The World Bank Group Library provides services to approximately 24,000 WBG staff and consultants in Washington, DC and world-wide. The unit provides access to many eResources (databases, eBooks, eJournals, etc.), reference and research services, training and custom solutions for organizational information needs.

Position Details:

Reporting to the IT Officer (eResources and Licensing Librarian) in the Library Content & Access Management Team, an experienced Information Management Services Assistant or Library Specialist is responsible for providing routine and standardized tasks and service activities in support of library operations, specifically library content acquisitions.

Specific Responsibilities:

  • Assists in selection of new titles for collection development. Procures books (print and eBooks) and journal titles from vendors for the library using corporate purchasing card and other methods.
  • Requests POs (purchase orders) in SAP/ Admin Portal or another ERP system.
  • Creates and maintains vendor and order records in the Integrated Library System (ILS). Creates and closes POLs (purchase order lines) in the ILS.
  • Receives new items and claims those which have not been received.
  • Processes invoices received and routes for payment as appropriate.
  • Assists in the monitoring of orders and expenditures for print and electronic resources from vendors.
  • Assists in fiscal year accounting activities to maintain correct budget records.
  • Collects usage statistics from vendors and/or internal systems to aid in subscription renewal evaluation and reporting.
  • Assists with user needs analysis, by collecting data from product trials and surveys.
  • Maintains lists of tools and resources to assist in collection development and access.
  • Other duties as assigned.

Selection Criteria:

  • Bachelor's degree with a minimum of 3 years relevant experience or Associates Degree with a minimum of 5 years relevant experience.
  • 3 to 5 years of relevant library acquisitions or administrative duties, plus other related Library, or information delivery experience.
  • Fluency in spoken and written English is necessary. Language skills outside of English considered a plus.
  • Strong knowledge and proficiency of publisher and vendor platforms, for searching and purchasing library material.
  • Strong knowledge of Microsoft Office Suite, particularly Excel and Outlook. Knowledge of pivot tables and advanced Excel skills is considered a plus.
  • Solid Library client service and vendor relations orientation.
  • Experience using a Case Management System to answer and monitor library requests.
  • Strong knowledge of and relevant experience in bookkeeping.
  • Relevant knowledge of or ability to quickly learn corporate purchasing tools, enterprise resource planning (ERP systems like SAP) and ILS systems.
  • Knowledge of subscription and vendor pricing methods and strategies.
  • Experience in Library administrative tasks and processes.
  • Solid communication skills.
  • High attention to detail.
